We are seeking a highly organized and proactive People Operations Specialist to support our recruiting and hiring efforts while providing general People Operations support. This role will serve as a key partner to hiring managers, candidates, and the People team, ensuring a seamless and efficient recruiting experience from requisition approval through onboarding.
The ideal candidate is detail-oriented, enjoys working in a fast-paced environment, and is passionate about creating an exceptional candidate and employee experience.
Recruiting Coordination & Support:
- Manage job postings across the Applicant Tracking System (ATS), company website, and external job boards.
- Coordinate and schedule interviews across multiple teams and time zones.
- Serve as the primary point of contact for candidates throughout the interview process.
- Ensure a positive and professional candidate experience at every stage of recruitment.
- Maintain candidate records and recruiting data within the ATS.
- Assist hiring managers with interview logistics, interview panel coordination, and feedback collection.
- Monitor recruiting workflows and ensure timely movement of candidates through the hiring process.
- Support offer preparation, approval workflows, and offer letter administration.
- Coordinate pre-employment requirements, including background checks, employment verification, and new hire documentation. Generate recruiting reports and metrics, including time-to-fill, candidate pipeline activity, and hiring trends.
- Support recruitment events, career fairs, and employer branding initiatives.
- Assist with sourcing candidates through LinkedIn, referrals, and other recruiting channels as needed.
People Operations Support:
- Coordinate new hire onboarding activities.
- Maintain employee records and personnel files.
- Support employee lifecycle processes.
- Assist with People Operations projects and employee programs.
- Help maintain HR documentation, policies, and procedures.
- Respond to employee questions and direct inquiries appropriately.
- Support performance review, engagement, and talent management initiatives.
Qualifications
- Bachelor's degree or equivalent experience.
- 2+ years of experience in recruiting coordination, talent acquisition, People Operations, or Human Resources.
- Experience using ATS and HRIS platforms.
- Strong organizational, communication, and project management skills.
- Startup, technology, or medical device industry experience.
- Experience with Lever, Greenhouse, or Ashby.
- Knowledge of employment law and recruiting compliance.
- PHR, SHRM-CP, or similar certification.
